How to Enter or Change a Clinical Trial

DukeHealth.org can help Duke employees recruit for IRB-approved clinical trials. This guide will help you understand how to use our online forms to enter or change a clinical trial and ensure that your posting is as effective as possible.

All requests for new clinical trial postings and changes to existing posts must be made through the form for tracking purposes.

How to Enter a New Clinical Trial

  1. Verify that there are no existing postings using your clinical trial’s IRB number on DukeHealth.org. A quick way to do this is to search for the last four to five digits of your study’s IRB number on Dukehealth.org.

    If there does not seem to be an existing post for your study, proceed to step two. 

    If there is an existing post for your study, determine if you wish to change that trial using the new study information or remove the trial from the Web site. Please contact the Web team with any questions.
  2. Select "Enter a new trial" on the clinical trial contact form.
  3. Complete the internal contact information, providing the full name, phone number, and e-mail address of the person that the Web team should contact regarding content questions and study status. This information will not be made public on the Web site.
  4. Enter trial details, including the study’s IRB number, title, description, specialty or specialties, and start and stop dates.

    • IRB number: This is a unique number previously assigned to your specific clinical trial by the IRB. We can only post trials that have been approved by the IRB.
    • Title: Keep the study title short, non-technical, and clear for your patient audience. Think of this as the headline for your trial.
    • Description: Include important details, such as study goals, age range, duration, number of visits, compensation, and usage of drugs and placebo. Be as specific as possible so that prospective participants have all of the information they need to know if they qualify for your study.
    • Specialty: Specialty subjects are tied to the Service sections on DukeHealth.org. Select subjects directly related to the service orientation of your study. If you have questions, the DukeHealth.org Web team can provide guidance on which specialties are most appropriate.
    • Start date: The date to start listing the trial on DukeHealth.org. Leave this field empty if you want it to start immediately.
    • Stop date: The date to stop listing the trial on DukeHealth.org. Leave this field empty if you want it to stay up indefinitely.

  5. Complete the registration contact information, providing the full name and phone number of the person who prospective participants should contact regarding registration and questions about study details. This information will be made public on the Web site.
  6. Click the "Submit" button at the bottom of the form.

How to Remove a Clinical Trial

  1. Select "Remove a trial" on the clinical trial contact form.
  2. Complete the internal contact information, providing the full name, phone number, and e-mail address of the person requesting the study removal.This information will not be made public on the Web site.
  3. Enter trial details, including the study’s IRB number, and the reason for removing the study's posting from DukeHealth.org.

    IRB number:
    This is a unique number previously assigned to your specific clinical trial by the IRB. This number is required so that the Web team can best locate your posting and fulfill your request.

    Reason for removing:
    Explain why this request has been made (e.g. the study has met its recruitment requirements, the study has expired, etc.)
  4. Click the "Submit" button at the bottom of the form.

How to Change a Clinical Trial

  1. Select "Change a trial" on the clinical trial contact form.
  2. Complete the internal contact information, providing the full name, phone number, and e-mail address of the person requesting to edit study details. This information will not be made public on the Web site.
  3. Enter trial details, including the study’s IRB number, and the information to be changed.

    IRB number:
    This is a unique number previously assigned to your specific clinical trial by the IRB. This number is required so that the Web team can best locate your posting and fulfill your request.

    Information to be changed:
    Outline what study details you wish to edit, being as specific as possible.
  4. Click the "Submit" button at the bottom of the form.

How to Ask a Question or Send a Comment Regarding Clinical Trials

  1. Select "Ask a question or send a comment" on the clinical trial contact form.
  2. Complete the internal contact information, providing your full name, phone number, and e-mail address, and question or comment. This information will not be made public on the Web site.
  3. Click the "Submit" button at the bottom of the form.
